Large Displays, Vehicles & Activations

Limited outdoor exhibit space is available for large-scale displays, vehicles, demonstrations, and experiential activations. All outdoor exhibits are subject to venue limitations, safety requirements, and weather conditions.

Available Outdoor Space & Exhibit Fees

  • 25’ x 25’ β€” $400

  • 50’ x 50’ β€” $700

  • 15’ x 165’ (limited availability) β€” $700

  • Please contact Expo to inquire about bulk outdoor space discounts and availability.

  • Utilities (including power and water) are not guaranteed and must be approved in advance if requested

Important Notes

  • Limited number of outdoor exhibit spaces available

  • Booths/spaces will not be reserved until payment is received

  • Outdoor exhibits are subject to safety, weather, and venue regulations

  • Event Management reserves the right to modify or relocate outdoor exhibits due to weather, safety concerns, or operational needs

  • All outdoor displays, vehicles, and activations must be approved in advance

Custom Builds & Layout Approval

  • Custom layouts, large structures, vehicle displays, or demonstration areas require prior written approval

  • Exhibitors are responsible for ensuring all displays meet local fire, safety, and venue requirements

  • Event Management may require documentation, diagrams, or proof of insurance for certain outdoor activations

⭐ Sponsor Priority

  • Sponsors receive priority space selection across all indoor, covered barn, and outdoor exhibit areas

  • Priority placement is subject to availability and final approval by Event Management

Payment Schedule

These payment terms apply to all outdoor exhibit spaces.

  • Payments may be made online or by check (U.S. bank only)

  • Checks must be payable to Arkansas Ozarks Outdoor Expo

  • Full payment (100%) is due upon approval unless otherwise approved in writing

Failure to meet payment deadlines may result in:

  • Late or transaction fees

  • Forfeiture of exhibit space

  • Removal from the Event without refund

Cancellations & Refunds

  • Outdoor exhibit spaces follow the same refund policy as standard booths

  • All cancellations must be approved by Event Management

  • Refunds, if approved, are based on the full exhibit fee and follow this schedule:

    • January 1 – June 30, 2026: 100% refund

    • July 1 – August 15, 2026: 50% refund

    • After August 15, 2026: No refunds for any reason

  • Deposits may not be transferred to future Events or to other Exhibitors

Sponsorships & Advertising

  • All sponsorships and advertising must be paid in full prior to installation

  • Advertising is non-refundable and non-cancellable

  • If an Exhibitor withdraws, all advertising commitments remain payable

  • Placement is subject to approval and may be reallocated at Management’s discretion
