Application, Fees, Payments & Cancellations
Application & Booth Assignment
All exhibitor applications are subject to approval by Event Management. Booth space is assigned on a first-come, first-served basis, subject to availability and approval.
Event Management reserves the right to assign, reassign, relocate, or modify booth locations as necessary for operational, safety, or logistical reasons. Relocation to comparable space shall not entitle the Exhibitor to a refund or fee reduction.
Exhibit Fees
Inline Booth
$250 10’ x 10’ Educational Building, 9’x9’ C2 & C3, or 8’x12” in the barn
Indoor or covered barn (vendor choice, as available)
End Cap Booth
$350 per 150sq. ft. (10’ x 15’)
$600 per 300 sq. ft. (20’ x 15’)
First-come, first-served
Outdoor Booth Options
$400 per 625 sq. ft. (25’ x 25’)
$700 per 2,500 sq. ft. (50’ x 50’) or equivalent configuration (e.g., 15’ x 165’)
A limited number of booths are available in all categories.
Bulk space pricing may be available upon request. Please contact Event staff for details.
🌟 Local Small Business Discount
$100 inline booth (10’ x 10’, 9’ x 9’, or 8’ x 12’ inline booth)
The Local Vendor Discount is available to businesses whose primary business location is within:
Baxter, Fulton, Marion, or Izard Counties (Arkansas), or
Ozark County (Missouri)
Businesses must have annual gross revenues not exceeding $250,000, as self-certified by the Exhibitor.
Important Notes
Discount applies to inline booths only
Discount limited to one (1) booth per business
Standard End Cap pricing applies to all vendors
Discount is subject to verification and approval by Event Management
A limited number of discounted booths are available
Approval for one Event does not guarantee approval for future Events
Submission of false or misleading information constitutes a material breach and may result in revocation of booth space without refund.
Proof of Local Vendor Eligibility
To qualify for the Local Vendor Discount, Exhibitors must submit verifiable documentation upon request, which may include:
Current business license
Articles of incorporation or DBA registration
Utility bill or lease agreement showing business address
State or local tax registration
Other documentation reasonably requested by Event Management
Event Management reserves the right to deny or revoke the discount if documentation is insufficient or inaccurate. If revoked, the Exhibitor is responsible for paying the standard booth rate.
Payment Schedule
Applies to all booth types, including Local Vendor booths.
Payments may be made online or by check (U.S. bank only), payable to Arkansas Ozarks Outdoor Expo.
Unless otherwise approved in writing:
25% deposit due within seven (7) weeks of application approval
50% of total booth cost due by August 15, 2026
Remaining balance due by September 15, 2026
Failure to meet payment deadlines constitutes a material breach and may result in:
Late or transaction fees
Forfeiture of booth space
Removal from the Event without refund
All payments are non-refundable except as expressly stated below.
Cancellations & Refunds
Local Vendor booths follow the same refund policy as standard booths.
If approved, refunds are based on the full booth fee and follow this schedule:
January 1 – June 30, 2026: Full refund
July 1 – August 15, 2026: 50% refund
After August 15, 2026: No refunds for any reason
Deposits may not be transferred to future Events or to other Exhibitors.
Event Cancellation & Force Majeure
Event Management reserves the right to cancel, postpone, or modify the Event due to weather, public safety concerns, government orders, acts of God, labor disputes, or other circumstances beyond reasonable control.
In such cases, Event Management’s liability shall be limited to refunding amounts paid, less any non-recoverable expenses, at its sole discretion. No additional damages shall be owed.
Sponsorships & Advertising
All sponsorships and advertising must be paid in full prior to installation.
Sponsorships and advertising are non-refundable and non-cancellable and are contractual obligations independent of booth participation.
If an Exhibitor withdraws, all advertising commitments remain payable. Placement is subject to approval and may be modified at Event Management’s discretion.
Compliance, Non-Endorsement & Governing Law
Exhibitors agree to comply with all applicable federal, state, county, and municipal laws, ordinances, and regulations, including those of the City of Mountain Home and Baxter County.
Participation as an Exhibitor does not constitute endorsement by the City of Mountain Home, Baxter County, or Event Management.
These terms shall be governed by and construed in accordance with the laws of the State of Arkansas, with venue lying exclusively in Baxter County, Arkansas.
